AI agent vs automation: which one does your business need?

By Angel Bastardo · CoGrowth · · 4 min read

Short answerAn automation follows fixed steps: when A happens, do B. An AI agent decides what to do based on what it receives, like a message or a document. Automation is ideal for repetitive, predictable tasks; agents for conversations and cases that vary. Many solutions use both.

Automation: fixed rules, every time

An automation connects your tools so a task happens on its own. For example: when someone fills in the form on your website, the contact is created in the CRM, a welcome email goes out and your salesperson gets an alert.

It works perfectly when the process is always the same. It doesn't need to “think”: it follows the rules we define. It's fast, cheap to maintain and very reliable.

The AI agent: decides case by case

An AI agent comes in when the next step depends on what the customer says. If someone writes on WhatsApp “do you have availability on Saturday for four people, and are pets allowed?”, no fixed rule solves that. The agent understands the question, looks up the information and replies.

What they look like together

In practice, the best solutions combine both. The agent talks to the customer and works out what they need. The automation handles what comes after: logging the lead, updating the spreadsheet, creating the booking and alerting the team.

That way the agent focuses on what needs judgment and the automation on what needs consistency.

Which to choose

Start with automation if…

Your problem is that your team copies data from one place to another, builds reports by hand or forgets follow-ups. Those tasks are predictable and automation solves them simply.

Start with an agent if…

Your problem is message volume: lots of similar questions, customers waiting for replies outside business hours or leads going cold because nobody answers in time.

If you're not sure

That's the most common situation. It's why our method starts by analyzing how your business works before proposing any tool.
